Administrative Body Membership Grant

Administrative positions in the board of a study or student association or a representative advisory body sometimes demand so much time that they can cause a delay in completing your studies. Therefore, you can qualify for an individual grant (Administrative Body Membership Grant).

  • Apply for a grant as a board member of a student organisation

    When do you submit your application?

    As a board member of a student organisation, you apply for a grant individually between 1 September and no later than 1 November at the beginning of the academic year you were on the board.

    Only board members of administrative bodies with an (agreed) deviating board change can submit the application later, but within 2 months after the board change.

    Important: submit your grant application even if it is not yet complete. You can add missing documents later.

    Requirements for applicants who hold an administrative position at a student organisation

    • You were or are entitled to a form of Dutch performance-related higher education grant or, if not applicable, must have received at least 2/3 of the regular amount of EC-credits to be received  in your studyprogramme(s) until you start/started your position.
    • You must be registered as a full-time student for a degree programme at the UvA during the administrative year and must also have been so during the academic year prior to the administrative year.
    • During your enrolment at the UvA, you must not have already received the maximum number of instalment amounts for a board grant

    Each individual application must be accompanied by:

    1. Proof of board membership, for example via an extract from the Trade Register Chamber of Commerce® (Dutch: KvK)
    2. The application form asks for a 'DUO-bericht'; as an international student you can upload a letter of enrolment instead
    3. A completed form on which it is clearly stated how the instalment amounts ('months') in question will be divided between the individual board members – you can find them in this document.

    In order to apply for a board grant, the student organisation for which you are on the board must be recognised by us within the framework of the Profile Fund Regulations.

    How many instalment amounts (‘months’) can you apply for?

    The administrative body decides how many instalment amounts (‘months’) of its total number of instalment amounts (‘months’) of Administrative Body Membership Grant are to be allocated to each board member. This is outlined in the division document. Make sure that all board members fulfil the individual requirements before allocating the grant.

    If you are a member of a board that changes later in the academic year (f.e. February), consider the following:

    • two different boards may be involved in allocating the association’s total number of instalment amounts (‘months’)
    • if your term of office is allocated over two academic years, you must apply twice: for the instalment amounts ('months') to which you are entitled in one academic year, and for the remaining ‘months’ to which you are entitled in the next academic year

    Compensation and payout

    • According to the new scheme, you will receive €300 per allocated (grant) month (earlier: €275).
    • Grants of 1 to 5 instalments are paid in one go at the end of the board year. Grants of 6 or more instalments are paid out per month during the board year.

    What amount are you entitled to?

    As an OC member, according to the new regulations you will receive an instalment amount for every 4 months you are in the OC. (Vice-)presidents get one amount of €300 (earlier: €275) extra for the whole year. (Profiling Fund Regulations 2021).

    When do you submit your application?

    • As a member of a Central Student Council ('CSR') or Faculty Student Council ('FSR'), you apply for a grant individually between 1 September and (at last) 1 November at the beginning of the academic year you were on the board.
    • As a member of a Programme Committee, you apply for a grant individually between 1 May and (at last) 1 November at the end of the academic year you were on the board.

    Important: submit your grant application even if it is not yet complete. You can add missing documents later.

    Requirements for applicants who are a member of a representative advisory body (CSR, FSR or OC)

    1. You must be registered as a full-time student for a degree programme at the UvA during the administrative year
    2. The following applies to members of the CSR and FSR: you were also registered as a full-time student at the UvA in the academic year preceding the board year. This does not apply to OC members, but first-year students in the OC must meet the BSA requirement.
    3. During your enrolment at the UvA, you must not have already received the maximum number of instalment amounts for a board grant.

    Each individual application must be accompanied by:

    1. Proof of membership, for example via a copy of the appointment letter, discharge letter or a screenshot of the website of your representative advisory body
    2. If applicable: proof of being the (vice-)president
    3. The application form asks for a 'DUO-bericht'; as an international student you can upload a letter of enrolment instead.

    Compensation and payout

    • OC grants are paid in one instalment at the end of the board year. 
    • Other grants of less than 6 instalments are also paid in one instalment at the end of the board year.
    • Grants of 6 to 12 instalments are paid out per month during the board year.
